Filtering Transactions in Subscribe

The filters allow you to search for a list of transactions you seek by filtering out unwanted results.

Pages associated with the billing menu typically include large volume of results. This is why they do not display results by default when you initially access them. Instead, the filtering screen lets you search for the required records. The search results appear for the page throughout the session.

Transaction Filtering Considerations

Use the following guidance and considerations to improve filtering performance:

  • When filtering by multiple fields such as ID and Status, the displayed results displayed match both the ID AND the Status values you entered. Fields in which you type a value, filter for that value. A search for customer Pete Johnson, for example, will not return results for Peter Johnson. A search for customer Pete, will display results for Peter Johnson.
  • The filtering screen includes key search fields, displayed with a light blue background for specific fields. At least one key search field (with a blue background) must be used in order to search.
  • Filtering with multiple input details improves the list of returned results and the speed of their return. When filtering by the date range key field only, the search is limited to 90 days. When using multiple filtering input (regardless if key fields), the date range is unlimited.
  • Up to 50,000 results will be displayed per search.

Transaction Filters

Status StatusSelect the status of the relevant Transaction you're seeking.

Select from:

  • New: The Transaction has been created, but not yet submitted for payment.
  • Authorized: Transaction was successfully authorized and is awaiting a capture call.
  • Authorized for Validation: Transaction was successfully validated (for example, by a $1.00 authorization).
  • Authorization Pending: For example, Paypal Payment Method: Transaction was created (customer clicked the PayPal button on a merchant site), but has not completed the PayPal payment process. Customer has three hours to complete the transaction before it times out. If the transaction times out, Status remains Authorization Pending indefinitely.
  • Authorized Pending: The Transaction passed authorization with the payment processor and the capture of funds is pending.
  • Auth Expired: Transaction was Authorized, but no Capture was made within the payment processor’s authorization time frame and the authorization has expired.
  • Captured: The payment processor successfully captured the Transaction.
  • Cancelled: The Transaction was cancelled because of a hard or soft failure, or because the merchant chose not to capture the transaction, for example, based on a fraud screen result.
  • Deposit Retry Pending: Transaction is being retried within the payment processor system (ECP Transactions only).
  • Refunded: The Transaction was successfully refunded, either fully or partially.
  • Pending: The transaction status is pending.
  • Void: Transaction previously classified as Auth Expired has been reversed. Voiding a transaction avoids Visa fees for Authorizations that are not captured.

Depending on the Payment Method Type selected, Subscribe displays additional information fields in which you must specify additional information.

Key field, at least one is required to filter.
For Payment Method Type > Credit Card:
  • Credit Card BIN - Optional
  • Credit Card Expiration - Optional
  • Credit Card Number - Key Field- required
Credit Card and Credit Card NumberSearch by entering the following:
  • Credit Card BIN - The Bank Identification number relevant for the credit card. This is typically the first 6 digits of the card. (optional field)
  • Credit Card Expiration - Enter the Month and Year until which the card is valid. (optional field)
  • Credit Card Number (Key Field - required for searching by Credit Card) - Enter one of the following:
    • (Recommended) The full number of the credit card associated with the Transaction. Requires at least 10 digits, allows up to 16.
    • The last four digits of the credit card. Enter at least six entries of the letter x and the last four digits of the card.

      Example for a 16 digit card: xxxxxxxxxx2214

    • The first six digits (BIN) and last four digits of the card.

      Example for a 16 digit card: 143272xxxx2214

    Note: Search requires exact match to find the relevant result.
Credit Card Number is a key field. The rest are Optional
For Payment Method Type > Boleto:
  • Fiscal Number
Boleto Fiscal NumberEnter the fiscal number that appears on the customer’s Boleto Bancário payment slip. This is a personal identification number per customer.Key field, required in order to search by Boleto Payment Method
For Payment Method Type > Carrier Billing:
  • Phone Number
Enter the phone number associated with the carrier billing account (regular or encoded).Key field, required in order to search by Carrier Billing Payment Method
For Payment Method Type > Direct Debit:
  • Bank Account Number
  • Bank Sort Code
  • Direct Debit Account Number
  • Direct Debit Bank Sort Code
Search by entering the following:
  • Bank Account Number- enter the customer's bank account number.
  • Bank Sort Code- Enter the European bank sort code that identifies the bank that houses the customer’s bank account whose number is specified in the account field.
For Payment Method Type > ECP:
  • Account Number
  • Routing Number
  • ECP Account Number
  • ECP Account Routing Number
Search by entering the following:
  • Account Number - (Key field) Enter either a full bank Account number or the last four digits of the Account number for the ECP.
  • Routing Number- Enter the Bank Routing Number
Account Number is a key field, required in order to search by ECP Payment Method
For Payment Method Type > External Billing:
  • External Billing ID
  • Financial Account ID
N/ASearch by entering the following:
  • External Billing ID- the External Billing ID, this the unique identifier of the payment method.
  • Financial Account ID- The customer financial Account ID in the External Billing system.
External Billing ID is a key field, required in order to search by External Billing Payment Method
For Payment Method Type > PayPal:
  • PayPal Email
PayPal Email AddressEnter the email address associated with the PayPal account.PayPal Email is a key field, required in order to search by PayPal Payment Method

When filtering by the this field only, the search is limited to 90 days.

When using multiple filtering input (regardless if key fields), the date range is unlimited.

Use the Calendar picker to select your date range, or enter dates directly in the fields.

How to Filter

To filter the page, do the following:

  1. Enter the relevant value by which you'd like to search in the key fields (blue background). You can also search by additional fields. Refer to the tables for guidance regarding the filter fields.
  2. Click Apply to filter the results.

    A list of the results appears. If there is only one result, the details page opens immediately.

  3. To change the filter query, click Change Query and enter the relevant values.
  4. To clear your filter parameters, click Clear.
